    Preface

    For this example, we focus on two users who represent two broader user groups:

    • User A is an analyst and needs access to data from the German online shop ("Shop GER"). He should have full access to Mapp Intelligence and be able to view reports in the Marketing and E-Commerce categories.

    • User B is a manager and also needs access to Shop GER. In addition to viewing reports in Marketing and E-Commerce, he should also be able to create, share, edit, and delete reports.


    Step 1: Setting up Users

    As a first step, the logins for User A and User B need to be created. This is done in User Management > Users.

    1. Create two new users.

    2. Fill in the basic user information.

    3. (Optional) Set a password expiration date.

    4. Do not assign any roles yet.


    Step 2: Setting Up Report Categories

    To manage access to reports based on specific target groups, categories must be set up. This is done in User Management > Categories.

    For our example, users need access to Marketing and E-Commerce reports, so these two categories must be created.

    Additional Information:

    • Categories assigned as View will appear greyed out. Users with this permission can only view reports within the assigned categories but cannot create or edit reports.

    • Users with Create permissions can view reports within the assigned categories and create private reports. However, they cannot edit or remove categories.

    • Users with Categorize permissions can view and create reports within the assigned categories. Additionally, they can assign, edit, and delete categories, allowing broader access management.


    Step 3: Setting Up Roles

    Account access (in our case, Shop GER), product access (in our case, Mapp Intelligence), and report rights (View vs. View, Create, Categorize, Edit/Delete) are managed via roles. For this example, two roles must be created. This is done in User Management > Roles.

    A) Creating a Role for Viewing Reports

    1. Choose an appropriate name for the role and add a description.

    2. Assign the account Shop GER to the role.

    3. Select Intelligence as an accessible product in the account configuration.

    4. Assign User A to the role.


    5. In the rights management, set the slider to Full.

      • This grants full access to all analyses available in Mapp Intelligence.


    6. Set Report access to Active and choose the appropriate Access level:

      • View → Users can see reports in the assigned categories.

      • Create → Users can create private reports within the assigned categories.

      • Categorize → Users can categorize reports by adding the selected categories to their reports, making them accessible to others. (Each level automatically includes the permissions of the levels below it.)

    7. Assign the categories Marketing and E-Commerce to the role.

      Result:

      Users assigned to this role (e.g., User A) can view reports in the selected categories. Categories assigned as view-only will be greyed out, and the user cannot modify or assign them.


    8. Save the role.


    B) Creating a Role for Viewing, Creating, Categorizing, and Editing/Deleting Reports

    Steps 1 to 5 are the same as in the previous section:

    1. Choose an appropriate name for the role and add a description.

    2. Assign the account Shop GER to the role.

    3. Select Intelligence as an accessible product in the account configuration.

    4. Assign User B to the role.

    5. In the rights management, set the slider to Full.

      • This grants full access to all analyses available in Mapp Intelligence.

    6. Activate Report access for this role.

    7. Set the Access level to Edit/Delete and assign the categories Marketing and E-Commerce to the role.

    Note

    • Create: Allows users to create private reports within their assigned categories. These reports remain private unless shared. Users cannot modify or remove categories assigned by others.

    • Categorize: Includes all Create permissions and additionally allows users to assign, edit, and delete categories. They can also add these categories to reports (including their own) to make them accessible to others.

    Result: Users assigned to this role (e.g., User B) can view, create, categorize, and edit/delete reports in the selected categories.
