Overview

Moderated group memberships allow group owners or managers to control who can join a group. With moderation enabled, every subscription request must be explicitly approved before the requester is added as a group member. This ensures that only authorized recipients receive group communications.


Key Characteristics

  • Mandatory approval: No recipient can join the group without approval from a designated moderator.

  • Group-specific setting: Membership moderation is configured individually for each group.

  • Controlled via notifications: Moderation is managed in the Notifications tab of the group settings.

  • No premature messaging: Pending applicants do not receive any group sendouts until they are approved.


How Moderated Memberships Work

When group membership moderation is enabled, the subscription process follows these steps:

  1. Subscription request - A recipient submits a request to join the group using a standard subscription form or process. In Mapp Engage, the recipient appears in the group with the role “guest” and the status “to be approved.” At this stage, the recipient is not a group member and does not receive group messages.

  2. Moderator notification - An email notification is sent to all group members who have the required permission to manage memberships. The email includes the information provided by the applicant in the subscription form.

  3. Approval or rejection - The moderator can approve or reject the request directly via the links in the notification email.

  4. Applicant notification - The requester is informed whether their membership request has been approved or declined.


Configuration and Permissions

  • Moderator role: Depending on the group configuration, the moderator can be the group owner or a group manager.

  • Required permission: Membership approval and rejection require permission 502 member_admit_reject.

  • Notification recipients: All group members with this permission receive the membership request notifications.

This configuration ensures that membership control remains transparent and manageable while preventing unauthorized access to group communications.
