Goal
Configure reply handling for a group so that incoming email replies are stored in an IMAP folder and can be accessed using an external email client.
Prerequisites
IMAP is activated for your system. IMAP is a fee-based feature.
IMAP is configured for the group.
Your email client is configured to access the IMAP folder.
Background Information
Each group in Mapp Engage has its own email address for sending messages. Mapp Engage does not provide a web interface for viewing or replying to incoming responses. Instead, replies can be handled in one of the following ways:
Forwarded to another email address
Stored in an IMAP folder that can be accessed through external email clients such as Outlook or Betterbird
Multiple users can access the same IMAP folder, which allows teams to work collaboratively with group replies.
Folder structure and naming
Replies stored in the IMAP folder are organized as follows:
Subfolders are created based on the group name.
Suffixes indicate the applied settings, for example, whether auto-responses are included or excluded.
If no group can be identified, messages are stored directly in the root folder named “INBOX”.
Procedure
Configuring IMAP for a group
Navigate to Audience > Group Management > Groups.
Click the pencil icon next to the relevant group.
Open the Reply Handling tab.
In the Email Reply Handling drop-down list, select one of the following options:
Store in IMAP (Include Auto-Responses)
Store in IMAP (Exclude Auto-Responses)
Forward to Address and Store in IMAP (Include Auto-Responses)
Forward to Address and Store in IMAP (Exclude Auto-Responses)
Click Save.
Configuring your email client to access the IMAP folder
Create a new server or account in your email client.
Use the following configuration details:

Save the settings and connect to the server.
Subscribing to group folders
To view group-specific reply folders in your email client:
Right-click the IMAP account.
Select Subscribe.
Select the required folders and confirm.
Notes and Limitations
Messages forwarded from Mapp Engage are sent from Mapp IP addresses and are not security-scanned. Consider applying additional security or spam filtering on your side.
Outlook may require sending or receiving a message to validate the account. If validation issues occur, consider using Betterbird.
IMAP storage is a receive-only solution. Ensure appropriate security and spam management processes are in place.
Logging information for IMAP storage and forwarding events is available in application logs, but reply traceability can be limited due to hashed email addresses.
