    Goal​

    Configure the reply handling for a group so that replies are managed in an IMAP folder.

    Replies are saved in an IMAP folder and can be accessed using an email program. An IMAP inbox can receive messages (with attachments) up to 10 MB in size.

    Prerequisites

    1. IMAP is activated for your system (IMAP is a fee-based feature).

    2. IMAP is configured for a Group.

    3. Your Email Client is configured to access the IMAP Folder.

    Background Information​

    Every group has its own email address for sending messages. Mapp Engage does not offer a web interface to view or reply to these responses. Instead, replies can be:

    • Forwarded to another email address

    • Stored in an IMAP folder, which can be accessed via external email clients such as Outlook or Betterbird.

    Multiple users can work with the same IMAP folder, enabling shared access to group replies.

    Folder Structure and Naming:

    Replies stored in the IMAP folder are organized as follows:

    • Subfolders are created based on the group name, with suffixes indicating settings (e.g., including or excluding auto-replies).

    • If no group can be identified, messages are saved directly in the root "INBOX."

    Procedure

    Configure IMAP for a Group​

    1. In themain navigation, click ​Audience > Group Management > Groups.

    2. Click the pencil symbol next to a group.

    3. In the group settings, click the ​Reply Handling tab.

    4. In the ​Email Reply Handling​ drop-down list, select one of the following settings:

      • Store in IMAP (Include Auto-Responses): Stores a copy of every message in your IMAP folder.

      • Store in IMAP (Exclude Auto-Responses): Filters out auto-responses and stores the remaining messages in your IMAP folder.

      • Forward to Address and Store in IMAP (Include Auto-Responses): Forwards all incoming messages to a specified address and stores a copy in your IMAP folder.

      • Forward to Address and Store in IMAP (Exclude Auto-Responses): Filters out auto-responses, forwards the remaining messages to a specified address, and stores a copy in your IMAP folder.

        Note:

        Messages forwarded from Mapp Engage are sent from Mapp’s IP address and are not security-scanned. Consider deploying an additional security scan on your end to identify potential spam.

    5. Click ​Save.

    Configure Your Email Client to Access the IMAP Folder​

    1. Set up a new server in your email client.

    2. Use the following configuration details:

      • Account or Server Type: IMAP

      • Incoming Server (IMAP): imap.shortest-route.com

      • Outgoing Server (SMTP): webmail.muc.domeus.com

      • Email Address: The group email address (e.g., mygroup@centralsupport.cust-mta.com).

      • Username/Password: Contact your Account Manager for this information. These credentials differ from your Mapp Engage login.

      • SSL Connection: Ensure a secure SSL connection (Incoming Server Port: 993).

    3. Save the settings and connect.

    Subscribe to Group Folders

    To view group-specific reply folders:

    1. In your email client, right-click the IMAP account and choose Subscribe.

    2. Select all desired folders and confirm.

    Troubleshooting Tips

    • If using Outlook, note that it may require sending/receiving a message to validate the account. Consider using Betterbird if validation issues occur.

    • Ensure that the IMAP configuration matches the documentation provided by your system administrator.

    Additional Information

    Logging and Traceability

    • IMAP storage events are logged with details such as hashed email addresses and folder paths. This information is available in application logs but may not always be visible in combined or event logs.

    • Forwarding events are also logged, capturing the replier’s hashed email address, the group email address, and the target forward address.

    Limitations

    • Reply traceability can be challenging due to hashed addresses.

    • The IMAP folder is a receive-only solution. Ensure security protocols are in place for spam management.
