Overview

The Send Email to System User job sends a prepared system message to designated system users, regardless of the contacts in the whiteboard campaign. It is typically used to:

  • Alert administrators when a workflow completes or encounters an error

  • Notify teams about data import/export events

  • Detect unexpected fluctuations in automated contact-processing tasks

Sendout Condition Logic

The message is triggered when the whiteboard reaches the Send Email to System User step and the defined condition is met. If no condition is set, the message is always sent.

This step is a system-level action, meaning its execution and reporting are independent of the contacts moving through the whiteboard.

Example

The following example shows how the job behaves with a contact-threshold condition:

  1. Every hour on the hour, the system sends the prepared message Weekly Promo Email to the group Promo Audience.

  2. Condition: If the number of contacts is less than 5, send the alert Low Audience Alert to chris.anderson@example.com.

In this setup, alerts are only triggered when the group size falls below the defined threshold of 5 contacts.
